Position Overview

Optima Energy, Inc. is seeking a highly organized, detail-oriented, and motivated Energy Efficiency Project Manager to support the planning, coordination, execution, and completion of multiple electrical contracting and energy efficiency projects.

The ideal candidate will have strong organizational abilities, excellent communication skills, and the capacity to manage competing priorities while maintaining a high level of accuracy and professionalism.

This position requires an individual who is comfortable communicating directly with customers, coordinating with field personnel, reviewing project requirements, tracking schedules, and proactively addressing issues before they affect project timelines.

The Project Manager will work closely with the Operations Manager and field teams to ensure projects are properly planned, executed efficiently, and completed according to customer expectations.

While prior electrical or construction experience is preferred, we are willing to train an individual who demonstrates strong project management fundamentals, initiative, accountability, and an eagerness to learn.

Key Responsibilities

Project Planning & Coordination

  • Coordinate and manage multiple active projects, typically four to seven simultaneously, depending on project size and complexity.

  • Assist in developing project schedules, timelines, and execution plans.

  • Monitor project progress and ensure milestones and deadlines are consistently met.

  • Conduct routine jobsite visits, walkthroughs, and inspections several times per week as project needs require.

  • Review project scopes of work, technical specifications, and installation requirements.

  • Coordinate with field crews to confirm project readiness, work progress, and completion requirements.

  • Support field personnel in addressing installation challenges and identifying appropriate next steps.

  • Assist in reviewing project conditions and ensuring work is performed according to approved scopes and applicable requirements.

  • Communicate project changes and jobsite conditions to the Operations Manager.

Customer & Stakeholder Communication

  • Serve as a primary point of contact for customers, property managers, and other project stakeholders.

  • Provide timely, accurate, and professional project updates.

  • Coordinate site access, project scheduling, and communication with property management representatives.

  • Address customer inquiries, concerns, and project-related issues professionally.

  • Follow up on outstanding approvals, documentation, and project requirements.

  • Maintain positive customer relationships throughout the project lifecycle.

Permitting, Utility & Project Documentation

  • Assist with coordinating permits, inspections, and applicable utility requirements.

  • Communicate with utility representatives, permitting agencies, and other involved parties as necessary.

  • Maintain accurate project documentation, including schedules, field notes, inspection records, and correspondence.

  • Track outstanding documentation and ensure project requirements are addressed in a timely manner.

  • Support administrative coordination necessary to move projects toward successful completion.

Problem-Solving & Accountability

  • Proactively identify problems and communicate potential solutions rather than waiting for direction.

  • Maintain clear ownership of assigned tasks and follow through until completion.

  • Balance competing deadlines and changing project priorities.

  • Escalate issues appropriately while demonstrating initiative and sound judgment.

  • Communicate project risks, delays, and unresolved matters promptly.

  • Ensure commitments made to customers and internal personnel are properly tracked and followed up on.
